Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Contact forms

Our Contact form collects your name, email address and any other information you include in your message. Usage of the contact form is considered consent for us to use the information provided to respond to you regarding your communication. We do not share this data with third parties or use it for marketing purposes. If your communication with us does not result in a contract with us, then we retain the information you send only for the duration of our correspondence. If your communication with us does result in a contract with us, then we retain the information you send for the duration of the contract and the remainder of your relationship with us as a client  as part of our contractual obligations. Some of your details such as email address and IP address may also be shared with third party anti-spam filters.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our Website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

For clients, we retain your data for the duration of your relationship with us as a client, and for while it is required for administrative purposes (legitimate interests) or legal obligations – whichever is the longest.

Data Subject Access Requests are free to make, however, we are entitled to charge a reasonable fee, taking into account the administrative costs of providing the information where a request is manifestly unfounded or excessive. We will advise you if we believe that such a fee is required. If a requested fee is not paid, we are not required to supply the requested information.

All requests must be accompanied with two types of proof of identity: one type of proof must be a proof of address, such as a utility bill, council tax bill, or bank statement from the last 12 months; the other type of proof must be a form of photo ID, such as a passport, or driving licence.

If you wish to make a Data Subject Access Request, please remember that:

  • Your Request cannot be processed unless we have received proof of your identity.
  • You should describe the information you need as clearly as possible – if your request is too broad or unclear, we may need to ask you to be more specific.
  • You should include your name and an address for a response.
  • The Data Protection Act does not give a right of access to information that is not personal to yourself – that is covered under Freedom of Information and could be subject to exemption from disclosure.
  • We will aim to respond to your request within one calendar month.

Where we send your data

Visitor comments and communications with us via our Contact Form may be checked through an automated spam detection service before being directly transmitted to us via email.

Any data that we collect from you may be stored at, and transferred to, a destination outside the European Economic Area (EEA). This data may also be processed by staff that operate outside the EEA working for us or one of our suppliers. In submitting your personal data, you agree to such a transfer and the storing and processing of this data. To ensure that your data is treated securely and in accordance with this privacy policy we will endeavour to take all reasonable necessary steps in protecting your privacy.
